AGENDA #4j

MEMORANDUM

TO:                  Mayor and Town Council

FROM:            W. Calvin Horton, Town Manager

SUBJECT:       Inter-Faith Council’s Request for Funding Related to Relocation Costs

DATE:             April 26, 2004

The attached budget amendment would use $15,000 from the Town Council’s contingency account to provide the Inter-Faith Council with funding for the temporary move from the Old Municipal Building.

BACKGROUND

The Inter-Faith Council will be relocating to temporary host sites while the Town renovates the Old Municipal Building.  The Inter-Faith Council requests that the Town provide approximately $7,000 in moving costs, $6,000 in transportation costs and $2,000 for utility costs.  The cost to move belongings and kitchen equipment includes the removal from and return to the Old Municipal Building.  The transportation costs arise from the Inter-Faith Council’s promise to transport the twenty-four shelter guests to their respective host accommodations each evening.  During the period of renovation, the Inter-Faith Council will be serving meals at St. Joseph’s C.M.E. Church.  As the Church is not fully capable of meeting the requirements caused by the increase in volume, some utility work, such as additional electrical circuits and minimal plumbing, is necessary to provide increased functionality.

DISCUSSION

The remaining amount in the Council’s contingency account is $17,800.  We believe it would be reasonable to use about half of this amount to pay for moving and utility costs.

RECOMMENDATION

We recommend that the Council approve the attached budget amendment using $9,000 in Council contingency to pay for the relocation costs.
